Likely interview questions for this role

Written from this job description, not a generic list. Each one notes what the interviewer is really checking.

Behavioral

Tell me about a time a patient or caller was upset with you or the clinic. What happened and how did you handle it?

whether the candidate can de-escalate a frustrated person without getting defensive, which is a daily part of this front-desk role

Describe a time you had to manage several things at once, like a full waiting room, ringing phones, and a line at the desk. How did you decide what to handle first?

prioritization skills in a high-volume, multitasking front-office environment

Tell me about a time you made a mistake entering information, like a patient's insurance or contact details. How did you catch it and fix it?

honesty about errors and diligence in correcting billing or record mistakes before they cause bigger problems

What does good customer service look like to you in a medical office, compared to say a retail or restaurant job?

whether the candidate understands the added sensitivity of dealing with sick or anxious patients versus general customer service

Tell me about your experience working the front desk or phones in a busy office. What was the volume like and how did you keep things moving?

verification of the required one to two years of customer service experience and whether it's comparable in pace to this role

Technical

What steps would you take if you noticed a patient's chart was missing information needed for their appointment today?

knowledge of medical record accuracy standards and follow-up habits for incomplete documentation

Situational

Walk me through how you would check in a patient who has a new insurance card and also owes a balance from a previous visit.

understanding of the registration and billing workflow, including collecting payer information and handling money conversations

What would you do if a patient told you their insurance information but you noticed it didn't match what's on file, and the patient is in a hurry to get to their appointment?

attention to detail and ability to balance accuracy against patient flow pressure

This clinic runs from early morning until 7pm on weekdays and has Saturday and, at some locations, Sunday hours. How do you feel about a schedule that can shift week to week between locations in Morton Grove, Glenview, and Lincolnwood?

realistic willingness and logistical ability to work the posted variable shifts and travel between three sites

A patient calls asking about a bill they don't understand and says they were overcharged. How do you handle that call?

comfort explaining billing and charges clearly while keeping the patient calm and not overpromising

How would you handle a situation where a patient becomes loud or confrontational in the waiting room in front of other patients?

judgment under pressure and awareness of when to involve clinical staff or security versus handling it solo

If a physician's schedule runs behind and patients in the waiting room start asking you when they'll be seen, what do you tell them?

communication skills and ability to manage patient expectations without overstepping clinical authority
