About your past

Tell me about a time you found a costly mistake in ordering or inventory. How did you find it and what did you change?

What they are checking: Whether they look for root causes and fix processes rather than just correcting one order.

Tell me about a time you had to tell a nurse or pharmacist that a product they wanted wasn't available. How did that go?

What they are checking: Whether they deliver bad news with a solution and keep good working relationships with clinical staff.

A critical drug goes on national shortage and you have two days left on the shelf. Walk me through what you do.

What they are checking: Whether they can run emergency procurement, find alternatives and loop in pharmacists before patient care is affected.

The purchasing contract changes and a product you've always bought is now off-contract. How do you handle the switch with hospital and clinic staff?

What they are checking: Whether they can manage contract compliance while communicating substitutions clearly so nurses and pharmacists are not surprised.

You still perform pharmacy technician duties in this role. How do you balance buying work with filling and other tech tasks on a busy day?

A drug representative is pushing a new product hard. How do you handle those conversations?

What they are checking: Whether they stay professional, follow contract and formulary decisions and do not get swayed into off-contract buying.

About the work

You'll manage purchasing for the hospital and the outlying clinics. How do you set and adjust par levels so you don't run out but don't tie up money in stock?

What they are checking: Whether they understand inventory turns and use usage data, not habit, to set par levels.

How have you worked with the McKesson ordering or supply management system, and how do you process and reconcile invoices?

What they are checking: Whether they can match invoices to orders and catch pricing or quantity errors before approving payment.

Walk me through how you handle a drug recall from notice to closing it out.

What they are checking: Whether they know how to find every affected lot across locations, pull it and document the recall fully.

How do you manage returns for credit and drug destruction, and what records do you keep?

What they are checking: Whether they recover money on expired product and follow proper disposal rules, including for controlled substances.

How do you prepare for annual inventory reporting, and what makes the count accurate?

What they are checking: Whether they understand that clean year-round records make the annual count easy and the financials trustworthy.
