This role covers purchasing support, invoice processing, carriers, fleet administration, travel and events. How do you keep that many kinds of work from slipping?

What they are checking: Whether they have a working system for juggling unrelated tasks without letting the quiet ones fall behind.

Tell me about a report you built that leaders actually used to make a decision.

What would you do

A carrier misses a pickup and a shipment the plant promised a customer is now late. What do you do?

Two operations leaders both need something from you by end of day and you can only finish one. How do you handle it?

You're planning an on-site event for leaders and the date moves with two days' notice. How do you handle it?

What they are checking: Calm, organized response to last-minute changes, which is a regular part of supporting a busy operations team.

About the work

Walk me through how you'd match an invoice to a purchase order when the quantities or prices don't line up.

What they are checking: Understanding of PO and invoice matching and whether they resolve the mismatch with purchasing and the vendor before paying.

What ERP systems have you used, and what did you do in them day to day?

What they are checking: How quickly they can work in an ERP for POs, receipts and reports, since the role backs up procurement in one.

What would you track to keep a site's vehicle fleet compliant and in good shape?

What they are checking: Whether they think about registrations, maintenance schedules, inspections and costs, the basics of fleet administration.
