Likely interview questions for this role

Written from this job description, not a generic list. Each one notes what the interviewer is really checking.

Behavioral

Tell me about a time you had to deliver disappointing news to a customer, like a delay or a denial, and keep the conversation calm and respectful.

customer service temperament under a frustrated caller, since this job is phone-heavy and rules-bound

Tell me about a time you had to read something with heavy technical or medical language and figure out what it actually meant.

comfort with medical terminology and anatomy despite no formal clinical training

Describe a situation where you had a stack of tasks with different deadlines and had to decide what to do first.

prioritization and time management in a high-volume, quota-driven environment

What does it mean to you to keep information confidential, even when the request seems urgent or the requester seems important?

ethical grounding and resistance to social pressure that could lead to inappropriate disclosures

Technical

Walk me through how you would handle a request for medical records where the authorization form is missing a signature or a date.

whether the candidate knows what makes an authorization legally valid and won't release records on an incomplete form

What's the difference between the legal health record and the designated record set, and why does that distinction matter when you're pulling information for a request?

real working knowledge of HIPAA record scope, not just a memorized definition

What steps would you take before emailing a batch of records to make sure the information is protected in transit?

awareness of encryption practices and basic cybersecurity discipline mentioned in the posting

Have you worked with EPIC or OnBase or a similar system before, and how comfortable are you learning new record systems on the job?

actual system familiarity versus willingness to adapt, since the posting flags EPIC and OnBase specifically

How do you double check your own work for accuracy when you're processing a high volume of similar requests every day?

personal quality control habits given the emphasis on meeting productivity and accuracy targets

Situational

Say you're reviewing a chart and you notice a page that looks like it belongs to a different patient. What do you do next?

understanding of quality control steps and escalation to a leader rather than just skipping the issue

How would you explain to a patient who calls asking why their records request is taking so long, when you know the internal process has multiple steps?

ability to translate internal workflow into plain language without breaching confidentiality or overpromising

You get a request from an attorney's office for a patient's full chart going back ten years, but the authorization only covers the last two years of treatment. What do you do?

attention to authorization scope and willingness to push back on out-of-scope requests

If you suspected a coworker or even yourself had accidentally sent PHI to the wrong recipient, what would you do?

judgment on breach reporting and honesty about mistakes in a compliance-heavy role
