Behavioral

Tell me about a time you managed a complex calendar for a senior executive with constantly shifting priorities. How did you decide what got moved and what stayed put?

whether the candidate can prioritize competing demands without constant hand-holding from the executive

Walk me through a situation where you had to handle something confidential, maybe a personnel matter or a sensitive strategic discussion, and someone tried to get information out of you.

discretion and judgment under social pressure, since this role sits close to hospital leadership decisions

Tell me about the most complex travel or event arrangement you've coordinated, something with a lot of moving pieces.

organizational capacity for multi-part logistics like site selection, agenda building, and last-minute changes

Tell me about a report or analysis you put together where you had to research and pull information together on your own before presenting it.

ability to conduct independent research and synthesize it into something decision-ready, not just formatting

Tell me about a time you had to draft correspondence or respond to something on behalf of your executive, in their voice, without checking with them first.

judgment about when independent action is appropriate and skill at matching the executive's tone

Describe a time your workload as an assistant to a senior leader got overwhelming. What did you drop, delay, or delegate, and how did you decide?

Technical

How do you build a presentation or report when the executive gives you only a rough idea of what they want?

comfort translating vague direction into a polished deliverable using PowerPoint and Excel independently

What is your approach to expense reporting and budget tracking for an executive, and have you ever caught an error before it became a problem?

attention to detail and financial accountability with the departmental budget administration piece

What's your system for keeping confidential files and records organized so you can find what you need quickly, but nothing is accessible to people who shouldn't see it?

practical fluency with filing systems and information security for sensitive hospital administrative records

Situational

Say the president is out of the office and a physician leader or board member calls with an urgent request that requires a decision. What do you do?

how the candidate distinguishes between what they can resolve independently and what needs to escalate, and whether they act as a real extension of the leader

Two department leaders both need something from the president's calendar this week, and both think theirs is most urgent. How do you handle that conversation with each of them?

tact and communication skill when managing competing stakeholders without damaging relationships

A visiting physician or hospital board member arrives for a meeting and the president is running late from another meeting. What do you do in that moment?

poise and professionalism representing the executive to high-visibility visitors

Another administrative assistant on the team comes to you unsure how to handle something. How do you approach coaching them without stepping outside your role?

willingness and ability to serve as a resource and informal trainer for other admin staff
