Likely interview questions for this role

Written from this job description, not a generic list. Each one notes what the interviewer is really checking.

About your past

You manage faculty travel arrangements, reimbursements and honoraria. Tell me about sorting out a reimbursement that had gone wrong.

What they are checking: Whether they persist through bureaucracy to fix reimbursement problems, since faculty and guests notice when their money is delayed or lost.

The role involves proofreading and fact checking on work that goes out under someone else's name. Tell me about catching an error nobody else had seen.

What they are checking: Whether they catch errors through careful proofreading and fact checking, since mistakes under the chair's name reflect on the department.

You handle confidential matters and keep leadership informed of university activities that affect them. How do you stay informed without spending the day reading email?

What they are checking: Whether they have efficient habits for staying informed, like key sources and summaries, so they keep the chair aware without wasting time.

This is in the Ben May Department of Cancer Research, a basic research department focused on mechanisms of cancer. What draws you to supporting research leadership rather than a business office?

What they are checking: Genuine interest in the environment rather than any executive assistant opening.

What would you do

This supports the chair of a cancer research department. What does an academic department chair need from an assistant that a corporate executive would not?

What they are checking: Whether they understand an academic chair juggles faculty, grants, teaching and committees, which differs greatly from supporting a corporate executive.

The posting describes acting as a lead and coordinating the work of others. How do you direct colleagues who do not report to you?

What they are checking: Coordination without authority, stated as the shape of the role.

You coordinate department events including logistics, presentations and outreach. What goes wrong most often, and how do you plan around it?

What they are checking: Whether they know the common event failures from experience and plan around them, rather than describing event planning only in theory.

How do you manage a calendar where high-priority meetings conflict and both sides think theirs matters most?

What they are checking: Whether they can resolve calendar conflicts by understanding priorities and consulting the chair when needed, keeping everyone's trust in the process.

You serve as an information gateway for general inquiries to the department. How do you decide what reaches the chair and what does not?

What they are checking: Whether they can decide what truly needs the chair's attention, since protecting the chair's time is the assistant's most valuable contribution.

About the work

You would prepare letters of recommendation, faculty reports and conflict of interest statements for the chair's submission. How do you handle a document that has to be right and has a hard deadline?

What they are checking: Whether they double-check important documents and plan ahead for deadlines, since errors in faculty paperwork can affect careers and compliance.
