Likely interview questions for this role

Written from this job description, not a generic list. Each one notes what the interviewer is really checking.

About your past

Tell me about the most senior executive you've supported. What did they trust you to handle without checking with them first?

What they are checking: How much real judgment they have exercised, since a strategic partner acts on the executive's behalf rather than just taking notes.

Tell me about a time you saw confidential information about people, deals or finances. How did you handle it?

What they are checking: Discretion, because an assistant to a top executive sees material that could hurt people or the company if it leaked.

Tell me about a time you made a mistake on an executive's schedule or travel. What happened and what did you change afterward?

What they are checking: Ownership and the ability to build a fix into their process, not just apologize and move on.

How do you stay organized when you're juggling travel, expenses, meetings and special projects in the same week?

What they are checking: Whether they have a reliable personal system, since proactive support depends on nothing slipping through the cracks.

What would you do

You'd support one executive who holds several senior titles at once, including Senior Vice President, Chairman and President. How would you keep his calendar straight when every role has its own demands?

What they are checking: Whether they can weigh competing priorities for a leader whose roles all claim the same hours, without being told each time.

Your executive's flight to Japan is canceled the night before a board meeting he's chairing. What do you do in the next hour?

What they are checking: Calm, ordered problem solving under pressure, including who gets told first and what backup options exist.

How do you decide which requests reach your executive and which you handle or redirect yourself?

What they are checking: Gatekeeping judgment that protects the executive's time without blocking things he truly needs to see.

A senior leader from another group pushes hard for time on your executive's full calendar. How do you respond?

What they are checking: Holding a boundary politely with powerful people while keeping relationships intact for the executive.

About the work

Nidec is headquartered in Kyoto with group companies in more than 40 countries. How have you handled scheduling and communication across time zones and cultures?

What they are checking: Practical habits for global coordination, like time zone tools and awareness of formality, that prevent costly misses.

Walk me through how you prepare a briefing packet for a leadership meeting.

What they are checking: Whether they anticipate what the executive needs to know, rather than simply collecting whatever documents were sent.

Which tools do you rely on day to day, like Outlook, Teams, PowerPoint or expense systems, and where are you strongest?

What they are checking: Honest self-assessment of software skills that the daily work will lean on from the first week.

Expense Management & Administrative Excellence • Prepare, review, and reconcile executive expense reports in accordance with company policies. • Maintain organized records and documentation related to travel, meetings, and executive activities. • Identify opportunities to improve efficiency, communication, and executive support processes. What We're Looking For • Bachelor's degree or equivalent combination of education and experience. • 7+ years of experience supporting C-suite executives or senior business leaders within a global, fast-paced, and highly matrixed organization. • Proven expertise managing highly complex calendars, executive scheduling, and international travel arrangements. • Demonstrated ability to operate independently and manage competing priorities with minimal supervision. • Exceptional organizational skills and attention to detail. • Excellent written, verbal, and interpersonal communication skills. • Advanced proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Microsoft Teams. • Experience using corporate travel and expense management platforms such as Adelman, Concur, and/or ExpensePoint is preferred. • Strong business judgment, professionalism, and discretion handling highly confidential information. • Experience supporting executives who operate across multiple time zones, regions, and cultures is strongly preferred.
